Understanding Time Blocking and Generating Greater Productivity Levels

How busy is your schedule? As an entrepreneur, you probably jump from one task to another, rush from one meeting to another and solve several conflicts. And between all of this, you probably answer many phone calls, reply to many emails and sift through tons of paperwork. What an exhausting day!

Question is, how do you get all the work done? Are 12 to 16 hour shifts the answer? Well, maybe, but you would be hurting your health in the process. So what do you do instead? Generate greater productivity levels through time blocking.

What Is Time Blocking?

Time blocking is a simple concept. You divide your day into various time segments and allot a particular task to each segment. So for instance, if the time between 8:00 am and 8:30 am is for emails, then that is the only time you can go through your inbox and reply to messages.

What tasks do you have to complete? Set aside a certain time segment of the day for them during which they would be your core focus. So basically, you concentrate on one single task rather than trying to multitask. This also prevents you from getting distracted, and you can cross off items on your to-do list faster.

Advantages of Time Blocking

The advantages of time blocking are many, but there are two that we particularly like. First, you get to finish off all your tasks really quickly without compromising on the quality. Why is that so? Instead of dividing attention between 15 different things, you solely focus on a particular task.

Secondly, you don’t jump from one thing to another. Instead, you group similar items together, which only utilizes a particular area of your brain. Thus, this creates a proper structure and ensures you stick to the schedule. You don’t randomly move here and there, but follow a proper approach for getting done with all the tasks.

What are the other advantages of time blocking? Let’s take a look.

  • Prioritize important and urgent tasks, completing them in a timely manner.
  • Avoid procrastination and concentrate on the task at hand.
  • Spend more time with your family
  • Live a stress-free life… because you can manage your schedule effectively!

So How to Go About It?

Prioritize your tasks, and rank them accordingly. The highest priority task should be at the top of the list. Devote the first hour of your morning for this task because that is when you are fresh and in your most energetic form. Depending on the time for each task, devote other blocks to lower priority tasks. In case something isn’t urgent or important, leave it for tomorrow.
